How We Approach Event Video Production in Orlando

Every project is different, and our Orlando event video production process adapts to match. The more we know about your event in advance, the better we can focus on what matters most to you. Sometimes we simply arrive and adjust as the day unfolds — and that works — but knowing specifics helps us capture what matters most. A beauty seminar at JW Marriott Orlando isn’t handled the same way as an automotive conference at the Orange County Convention Center. The energy, pace, and audience are different, so we adjust our filming approach accordingly.

If we’ve filmed at the venue before, we know the best angles and setup options. For new locations, we may stop by in advance or work out the setup on arrival. Any schedule changes you share beforehand help the day run smoothly. When recording speakers, we coordinate with AV staff to connect directly to their soundboard for clear audio.

Event Video Production Process

1. Booking

Most Orlando event video production jobs start with an email. If it has enough details, we can send a quote right away. If not, we reply with a few questions so we know what to price. From there, a few things usually happen — they book, they disappear, they ask more questions, or they want a Zoom call. If they book, we send the contract, collect a 50% retainer, and lock in the date.

2. Pre-Production

We confirm the schedule, event filming times, and details like AV access for audio. Most of this is handled over email. If you want to meet before the event, that’s fine. We can just go over the schedule and anything that might’ve changed.

3. Event Filming Day

We arrive for setup and follow the agreed plan. If last-minute changes happen, we adjust and keep things moving when possible. We work unobtrusively so filming doesn’t interfere with the flow of the event.

4. Footage Delivery or Editing

Some clients only need raw footage, which we can put on a hard drive or send via Dropbox. If we’re editing, you’ll first see a rough cut for feedback. After revisions, we send a second version for one final review before delivering the finished videos.

Coverage Options

You can book event video production in Orlando by the hour, for a half-day (up to 5 hours), or a full-day (up to 10 hours). We handle single-day projects, multi-day schedules, and coverage in more than one location when needed.

Orlando Event Video Production Pricing

Pricing depends on the scope of your event video production project. A single videographer may be enough for certain setups, but simultaneous activities in different spaces require additional camera operators.

Other factors that can affect pricing include:

  • Number of cameras
  • Editing or raw footage delivery
  • Venue AV access for audio
  • Need for event photography and videography
  • Production assistant for interviews
  • Multi-day or multi-location coverage
  • Travel or parking fees for certain venues
  • Rush turnaround for faster delivery
  • Drone coverage where permitted
  • Filming permits for restricted or public spaces

Once we know your event schedule, filming requirements and how you want the footage delivered we can give you a quote for your exact needs.
